Cardinal Management is an independent organisation that provides direction in times of need to organisations and injury victims, with an emphasis on rehabilitation. They often work with patients directly within NHS hospitals.

As a new start up working across a number of different hospitals and handling sensitive data, they needed a secure system that would allow them to track cases from beginning to end. Due to a number of legal requirement, it was critical that patient consent was logged and cases did not progress if consent was not given or had expired.

  • Cardinal Management, being a new start-up had no prior system to base the new software on. The nature of their work meant that they needed multiple sub-workflows in one case that allows them to log meetings and control the yearly adding of consent.
  • Regulations regarding patient consent mean that it was very important to include this verification in order to ensure compliance. Yearly compliance checks mean that they needed a new workflow annually to accommodate this.
  • Because of the very sensitive nature of medical information, Cardinal had to be absolutely sure that the transfer of patient records and documents was completely secure.

  • As a new firm, Cardinal Management was able to set up a working system to manage its records and administration, in a short period of time, without needing to employ administration staff or develop their own IT solution.

Because SwiftCase is designed to be accessed on mobile devices as well as desktops, workers at hospitals could log on anytime, without needing to be at a central office. This was a major advantage when asking the user to consent as the client can consent within the hospital securely using the software via tablet.
  • Cardinal’s work processes are broken down into their distinct stages. At a glance, they are able to see exactly where each of their cases is up to, and can plan and manage their workload accordingly. If consent to do so is received, Cardinal can follow-up the client experience with a survey that all links into their existing case within the software.

  • The new system includes custom criteria unique to Cardinal Management, mapping their businesses’ exact workflow.
  • Cardinal Management now have the ability to easily share relevant documents with clients, securely and quickly through the system without relying on external email or messaging.
  • Cardinal have been able to set up and maintain an efficient business, in an industry with strict legal and security guidelines, without the expense of extra administrative staff and office space. They currently provide their service to three different hospitals in the UK and look at expand further in the future.
