Document Tagging on Generation
When SwiftCase generates a document, it can now automatically tag it based on your configuration. Define tags in the workflow builder, and every generated document receives the appropriate categorisation.
This flows through to email attachments too. When sending documents with specific tags, the system finds matching files automatically. Generate an inspection report, tag it as "inspection", and your follow-up email attaches it without manual intervention.
Dynamic Date Searching
Searching for cases by date just got more powerful. Instead of entering specific dates, you can now search using dynamic expressions:
- "Last 7 days"
- "This month"
- "Last quarter"
Save these searches and they update automatically. A report showing "cases created this week" always shows the current week's cases, not the week when you created the report.
Client Profile Defaults
Case data can now inherit from client profiles. When a client has a preferred communication method, default terms, or standard service level, these flow through to new cases automatically.
Set it once on the client, use it on every case. Changes to the client profile flow through to future cases.
Role-Based Document Access
The HTML report preview now requires specific permissions. Control who can generate and view reports separately from who can access cases.
Similarly, the resource unlocker and other administrative functions now have dedicated roles. Fine-grained permissions mean you can delegate specific tasks without granting broad access.
Thumbnail Management
Document thumbnails now generate on-demand and clear properly when files change. Expired thumbnails regenerate automatically. The document manager displays correctly even when files are updated or replaced.
A new command clears all thumbnails when needed, useful after system updates or storage changes.
Previously Allocated Suppliers
When allocating work, you can now show suppliers who were previously allocated to related cases. Useful for continuity when a customer prefers to work with the same person, or when historical relationships matter.
External User Counts
For licensing and capacity planning, SwiftCase now provides external user count summaries. Understand your user base at a glance without running manual counts.
