Workflow Engine

A workflow engine is the core software component that executes automated business processes by evaluating rules, routing tasks, and triggering actions based on predefined conditions.

A workflow engine sits at the heart of any workflow automation platform. It is the execution layer that takes process definitions — the rules, steps, and conditions you have configured — and runs them in real time as events occur.

When a trigger fires (a form submission, a timer, an API call), the workflow engine evaluates the conditions defined for that process. Based on the outcome, it executes the appropriate actions: assigning tasks, sending notifications, updating records, generating documents, or calling external systems.

A robust workflow engine handles parallel paths (multiple things happening simultaneously), conditional branching (different paths based on data values), escalation rules (what happens when deadlines pass), and error handling (what to do when something fails).

SwiftCase's workflow engine supports over 60 automation actions and processes millions of workflow executions. It is designed for complex service operations where workflows involve multiple parties, regulatory requirements, and long-running processes that may span weeks or months.

Workflow Automation

Workflow automation is the use of software to execute business processes with minimal human intervention, replacing manual handoffs, notifications, and data movements with automated triggers, conditions, and actions.

Conditional Logic

Conditional logic in workflow automation defines rules that determine different actions or paths based on data values, enabling processes to adapt automatically to different scenarios.

Escalation Rules

Escalation rules are automated triggers that route work to senior staff, send alerts, or take corrective action when defined conditions are met — typically when deadlines approach or are breached.

Approval Workflow

An approval workflow is an automated process that routes requests through one or more levels of review and approval before an action can proceed.
